Facilities Coordinator

Location: Chicago, Albany Park

Company: Movement on Montrose – New Event Space and Nonprofit Collective

Schedule: Available to shift schedules as needed and on weekends

Position Type: Full-Time

About Us:

Movement on Montrose is a newly established event space and nonprofit collective located in the Albany Park neighborhood in Chicago. Our mission is to cultivate a diverse and inclusive community by providing a platform for events, programs, and initiatives that promote cultural enrichment and social impact.

Role Overview:

As a Facilities Coordinator, working directly with the Operations Manager you will play a pivotal role in ensuring the smooth and efficient operations of our facilities. You will be responsible for various aspects of building maintenance, office services, and administrative support. This position requires a detail-oriented individual with excellent organizational skills and the ability to multitask.

Responsibilities:

Facilities Management:

  • Assist with coordination and execution of events.
  • Set-up event spaces, including equipment setup.
  • Assist in coordination and overseeing building maintenance.
  • Maintain inventory of supplies and equipment necessary for building operations.
  • Manage relationships with vendors and service providers, ensuring timely and cost-effective delivery of services.
  • Assist in Implementing and enforcing safety and security protocols to maintain a safeworking environment for occupants.
  • Some knowledge of audio-visual equipment.
  • Ensure cleanliness and organization of office spaces and common areas.

Administrative Support:

  • Greet visitors and provide excellent customer service both in-person and over the phone.
  • Provide general administrative support.
  • Assist with event bookings, inquiries, and tenant communications.
  • Assist with scheduling and coordinating appointments, meetings, and events.
  • Maintain accurate records and databases related to facilities management and office services.
  • Assist with marketing efforts, including social media updates, event promotion, and outreach utilizing Canva.
  • Other tasks as needed.
  • Collaborate with the other team members to support overall operations.

Qualifications:

  • Previous experience in facilities management, office administration, or a related field is preferred.
  • Strong organizational skills and attention to detail, with the ability to prioritize tasks and manage multiple projects simultaneously.
  • Excellent communication and interpersonal skills, with the ability to interact effectively with colleagues, vendors, and stakeholders at all levels.
  • Proficiency in Microsoft Office Suite and other relevant software applicatons.
  • Knowledge of safety and security regulations pertaining to building operations is desirable.
  • A proactive and collaborative approach to problem-solving, with the ability to work independently and as part of a team.
